Availability
Coaching sessions are 55 minutes in duration, and I meet with clients via phone or video Monday, Tuesday, Thursday and Friday at 8:30am, 10:00am, 11:30am, 1:00pm, 2:30pm and 4:00pm Pacific. Given that my practice is usually near or at capacity, it's not feasible for me to meet at other times. I'm generally not available on Wednesdays.
Phone vs. Video
Video isn't necessarily superior to phone--each medium has its advantages. If a client is feeling fatigued by the demands of video calls, I encourage them to consider meeting via phone as an alternative. This can allow them to step away from their desk and even take a walk during our conversation. I use Zoom as a video platform, and I provide clients with a persistent link to my waiting room.
Cadence & Scheduling
I meet with each client at the cadence that's right for them, although I prefer to hold at least one meeting per month. I see most clients every three weeks. When a client has a preference for a particular time or day of the week it's advisable to schedule multiple meetings in advance, as my calendar tends to fill 3 to 4 weeks out. Many of my clients have an assistant managing their calendar--in those cases I'm happy to work directly with that person, provided we can schedule at least one quarter in advance.
Cancellation & Rescheduling
Meetings may be cancelled or rescheduled up to 10 full business days in advance without penalty. Meetings cancelled or rescheduled within 10 full business days in advance will be billed at the standard rate. I've found this to be a fair way to share the risk of unpredictable calendars.
Engagement Length
My coaching engagements are open-ended, and the duration is determined by the client. The average engagement length in my practice is currently over 3 years. There's no obligation to work together for a set period of time, but I'm interested in working with clients who are seeking a long-term relationship with their coach. I practice what I preach--I began working with my coach in 2001, and we've been working together continuously since 2009.
Fees & Billing
The annual cost of a typical engagement in my practice ranges between $15K and $25K. The client controls the cost by determining our meeting cadence, and my fee per session is $1,450. I bill on a quarterly basis via a single invoice emailed directly to a client or to their Accounts Payable address. I prefer electronic payments via direct deposit (ACH), although if necessary I can process payment via paper checks or PayPal. I'm unable to participate in a vendor management system.
